Xolotl as an alternative to Vet-Files
Vet-Files, from MillerFox in Stabroek, has been in Belgian practices since 2000. Long-established, and priced as a base licence plus the parts you add.
What Vet-Files is
Twenty-five years in the same market is worth something real: the product knows Belgian practice, and a supplier that has been reachable that long is a supplier who will pick up the phone. There is also a Starter tier for very small practices that is genuinely inexpensive.
The trade-off is the shape of the price list. Several things a practice now treats as basic — the online agenda, Peppol import, moving your data in — carry their own line.
How the two price lists are shaped
Vet-Files is priced as a base licence with tapering additional licences, plus separate lines for the parts you add — the online agenda, Peppol import, the data migration — and a Starter tier for very small practices with a client-count ceiling. Ours is one per-veterinarian line, 79 EUR then 59 EUR then 39 EUR, capped at 390 EUR per site, with the agenda, online booking, migration and staff accounts inside it and no client-count limit at any tier.
One question worth asking them: whether a licence is per veterinarian or per user, because that decides what your support staff cost. We do not print their figures here — list prices change. MillerFox publishes theirs; ours are on our pricing page, and the worked arithmetic is in what the software really costs.
What is different about Xolotl
- The calendar, client online booking, staff scheduling and intake forms are core, not an agenda add-on
- Migration is free rather than a 400 EUR line
- Assistants and reception never count as licences
- Equine, farm and exotic patients in the same registry as companion animals
- Offline field rounds with vehicle stock and automatic mileage
Where Vet-Files is the better answer
- You are a very small practice under 250 clients and the Starter tier fits you
- You want a supplier with a twenty-five-year track record in Belgium specifically
- You need inbound Peppol invoice handling inside the practice system now
