What is metered, and at what price
Two things cost us money every time you use them, so we meter them instead of hiding them in the price. The bundles below cover normal practice use — you only pay for what goes past them, and only at the rate we pay.
- SMS reminders — 200 per vet per month included, then €0.06 each. Email reminders stay unlimited.
- Peppol documents — 50 per vet per month included, then €0.20 each. Invoices to pet owners are not Peppol documents and never count towards it.
- Everything else is unlimited: clients, animals, consultations, imaging studies and the storage they need, and staff accounts.
- The €390 site cap is a cap on the licence. Metered usage above the bundles is billed on top, at the same rates.
New graduates
Free for your first twelve months, then half price for your first full year. No minimum term, ever.
Switching suites
We migrate your data for free. Moving practice software usually costs €400 to €600 elsewhere.
Prices exclude VAT. Billed monthly, cancel anytime — no minimum term, no setup fee, no per-assistant charge and no module add-ons. SMS and Peppol documents above the included bundles are billed per use at the rates above, and appear as separate lines on your invoice. Multi-site groups and chains: talk to us for a tailored quote.

Is Xolotl built for Belgium, or adapted to it?
Built for it. Belgian VAT rates on invoices, CODA bank statements matched on OGM structured references, ledger exports for Winbooks and Exact, the antibiotic and registry records the FAMHP asks for, and Peppol e-invoicing are all part of the product. None of them is a country pack or a paid add-on.
Does the software work in Dutch, French and English?
Yes, and per user rather than per practice. Everyone picks their own language and the whole interface follows: Dutch (nl-BE), French and English. Practices in Brussels routinely run all three side by side.
One caveat we would rather you hear from us: PDF documents and reminder emails are still single-language today. The app is trilingual, the paperwork is not yet.
What does Xolotl cost?
79 EUR per veterinarian per month for a solo vet, 59 EUR from two to five, 39 EUR from six, and the licence never exceeds 390 EUR per month per site. Assistants, receptionists and students are free at every tier, and every module is in the price. Two things are metered: SMS above 200 per vet per month at 0.06 EUR, and Peppol documents above 50 per vet per month at 0.20 EUR. Prices exclude VAT.
Can I bring my data over from my current software?
We migrate it for you at no charge, as far as the export from your current supplier allows. Elsewhere in the Belgian market that is a 400 to 600 EUR line item. Tell us which suite you are on and we will tell you honestly what can come across and what cannot.
Does it work on a farm with no signal?
Yes. The day's round is cached on the phone before you leave: patients, allergies, prices and the stock in your vehicle. Visits recorded with no coverage sync the moment you are back in range, and the kilometres are recorded in the background so they reach the invoice.
