Veterinary practice reporting and compliance

Your numbers and your obligations in one place, so the quarter does not end in a spreadsheet reconstruction.

Xolotl reports page showing practice KPIs and grading against industry reference values

The numbers that change decisions

Not a wall of charts. The handful of figures that tell you whether the practice is working.

  • New clients, and where they came from
  • No-show rate
  • Revenue per veterinarian
  • Vaccine compliance
  • Your figures graded against industry reference values
  • Saved reports you can come back to, and a webhook if you run your own BI

Compliance, as records rather than promises

  • Antibiotic use tracking with AMU reporting
  • Registry records for the FAMHP obligations, with the export your filing needs
  • Slaughterhouse feedback records
  • Audit trail across the practice
  • Role permissions and two-factor authentication for staff
  • GDPR data export for any client who asks

What is a record and what is a transmission

Keeping the register and electronically transmitting it to the authority are two different capabilities, and the difference matters at deadline. Xolotl keeps the records and produces the declaration export. Direct electronic submission is not switched on, so today you file the export.

We spell this out because a stub that fabricates a submission reference is indistinguishable from a real filing until an inspector asks. The VAMREG guide covers what is due, and when.

Reporting questions

Can I get the data out?

Yes — reports export, the ledger exports to Winbooks, Exact and CSV, there is a per-client GDPR export, and API access comes with the group tier. Your data staying reachable is not a retention tactic we are willing to use.

Is two-factor authentication extra?

No. TOTP two-factor, role permissions and the audit trail are in the price at every tier.
