Veterinary invoicing and accounting software for Belgium

From the consultation to your accountant's ledger without retyping anything, with the VAT codes, bank formats and e-invoicing Belgium actually uses.

The Belgian back office is the hard part

Any practice suite can print an invoice. What separates them in Belgium is what happens on either side of it: the right VAT treatment going out, the CODA file coming in, and a ledger your accountant can actually import.

Xolotl does all three as core behaviour. Elsewhere in this market, the accounting export is frequently a paid module with its own per-assistant price.

Going out

  • Invoices and estimates with Belgian VAT rates and the right codes per line
  • Peppol e-invoicing through your access point, for the B2B invoices that now require it
  • Insurance claims followed from submission through to payout
  • Recurring billing, client statements and aging lists
  • Payment follow-up, so what is overdue is a list rather than a feeling

Coming in

  • CODA bank statements imported from your bank
  • Payments matched automatically on OGM structured references
  • General ledger export to Winbooks, Exact or CSV
  • Purchase invoices tied to the stock they brought in

Billing questions

Does the accounting export cost extra?

No. Winbooks, Exact and CSV exports are in the price at every tier.

Does it handle the VAT rates a vet practice actually meets?

Yes — invoices carry Belgian VAT rates and codes per line, which matters when the same visit mixes a professional service, a medicine and a retail bag of food.

Can I take a card payment at the farm?

Not yet. Field visits record the work, the mileage and the stock used, and the invoice follows from the practice. Payment at the farm is an open decision, not a shipped feature.
