The product

What is Xolotl?

A veterinary practice management suite built for Belgium: appointments, medical records, hospitalisation, prescriptions, inventory and pharmacy, invoicing with Belgian VAT, field visits, reporting and compliance. One system, one database, one price per veterinarian.

Who is it for?

Belgian practices of any species mix — companion, equine, farm, breeding and exotic — from a solo mobile vet to a multi-site clinic.

Does it run in the cloud or on a server in the practice?

In the browser, with no practice server to buy or maintain. It also runs as a desktop application on clinic computers and installs to a phone for offline field work.

Which languages does it work in?

Dutch (nl-BE), French and English, chosen per user rather than per practice. PDF documents and reminder emails are still single-language today.

Are there native iPhone, iPad or Android apps?

Not to download yet. The field workflow installs from the browser to the phone's home screen and works offline from there. Native Mac and iPad apps are in progress, and we will say so when they ship rather than before.

Belgium specifically

Does it handle Belgian VAT correctly?

Yes — Belgian rates and codes per invoice line, which matters when one visit mixes a professional service, a medicine and a retail product.

Can it import CODA files from my bank?

Yes, and it matches payments automatically against OGM structured references.

Will my accountant be able to work with it?

Ledger exports go to Winbooks, Exact and CSV, included at every tier.

Does it cover VAMREG and antibiotic registration?

It records antimicrobial supply and use from the batch, keeps the registry records and the AMU tracking, and produces the declaration export. Direct electronic transmission to the FAMHP is not switched on, so today you file the export. The full guide.

Does it do Peppol e-invoicing?

It sends structured invoices through your access point, included at every tier. It does not yet receive inbound Peppol invoices. The full guide.

Price and terms

What does it cost?

79 EUR per veterinarian per month solo, 59 EUR from two to five, 39 EUR from six, capped at 390 EUR per month per site. Excluding VAT.

Do assistants and receptionists cost anything?

No, at any tier. Everyone gets their own account with their own permissions, which is also what keeps the audit trail meaningful.

Is there a free trial or a demo?

We run a thirty-minute walkthrough on your own kind of cases, and reply within one working day.

Is there anything for new graduates?

Free for your first twelve months, then half price for your first full year after that. No minimum term at any point.

Data, security and leaving

Where does our data live?

Each practice's data sits in its own isolated schema rather than a shared table filtered by a column.

What security is there for staff accounts?

Role-based permissions, TOTP two-factor authentication and an audit trail across the practice, in the price at every tier.

Can we get our data out if we leave?

Yes. Reports export, the ledger exports to Winbooks, Exact and CSV, there is a per-client GDPR export, and the group tier includes API access. We would rather you stayed because it works.

Can you migrate us from our current software?

Free of charge, as far as your current supplier's export allows. How switching actually works.

Self-service online booking for clients?

Yes. Clients book themselves in your practice’s own portal, from the hours each vet opens. Open no hours and nothing is bookable — that part is yours to set.

A pet-owner app?

No.

Drug-to-drug interaction checking?

No. The dose checker covers mg to mL conversion, dose ranges, species toxicity, allergy conflicts and duplicate active prescriptions. There is no interaction engine, and we will not describe one.

Signature capture or card payment in the field?

Neither, yet.

Documents and reminder emails in the client's language?

Not yet. The app is trilingual per user; PDFs and reminder emails are single-language.
