Practice management software for companion animal clinics

For small-animal practices in Belgium, where the constraint is rarely clinical knowledge and usually the twelve things happening at reception at once.

The bottleneck is the front desk

In a companion practice the clinical work is well understood. What costs the day is the coordination around it: the walk-in during a booked consultation, the vaccination reminder nobody sent, the owner who wants an estimate before they agree, the invoice that mixes a service, a medicine and a bag of food at three different VAT rates.

Xolotl puts those on one screen and one database, so the receptionist, the vet and the accountant are looking at the same event.

What a small-animal clinic uses most

  • Shared calendar per veterinarian and per consulting room, with walk-ins
  • Vaccination history and reminders by email and SMS
  • Estimates the owner can agree to before the work starts
  • Prescriptions checked for dose range, species toxicity, allergies and duplicates
  • DICOM imaging with no separate imaging licence
  • Hospital whiteboard with treatment sheets, fluid balance and pain scoring
  • Retail counter for food and care products
  • Insurance claims tracked from submission to payout

Assistants do not cost extra

A companion clinic is staff-dense: nurses, receptionists, students. Under per-seat pricing, every one of them is a line on your monthly invoice, which quietly pushes practices to share logins — and a shared login destroys the audit trail you are supposed to keep.

Xolotl charges per veterinarian. Everyone else gets their own account, at no cost, with their own permissions and their own name in the audit trail.

Questions from small-animal practices

We are three vets and five support staff. What do we pay?

Three vets at 59 EUR each is 177 EUR per month, excluding VAT. The five support accounts are free. Under per-assistant pricing common in this market the same practice pays materially more.

Can we run reception in Dutch and consultations in French?

Yes. Language is per user, not per practice, so the same shared calendar reads in Dutch for one colleague and French for the next.
